Key Responsibilities

The selected Personal Assistant will be responsible for supporting the Executive Director in daily administrative and operational functions, ensuring seamless workflow and communication across the organization.

Executive Calendar & Schedule Management

  • Manage and coordinate the Executive Director’s calendar and appointments
  • Schedule meetings, conferences, and executive engagements
  • Organize business priorities and maintain scheduling efficiency
  • Ensure timely reminders and follow-ups for appointments and deadlines

Meeting Coordination & Documentation

  • Coordinate internal and external meetings
  • Prepare meeting agendas and briefing materials
  • Record meeting minutes accurately
  • Track action points and ensure timely follow-up on deliverables

Communication & Correspondence

  • Draft professional emails, reports, presentations, and official correspondence
  • Screen incoming phone calls and messages professionally
  • Act as a key communication point between stakeholders and the Executive Director
  • Maintain confidentiality in sensitive organizational matters

Administrative & Office Support

  • Organize and maintain office records, databases, and important files
  • Handle document management and administrative processes
  • Support office coordination and workflow improvements
  • Maintain efficient filing systems for easy access to information

Travel & Logistics Coordination

  • Assist with travel planning and logistics arrangements
  • Coordinate transportation, accommodation, and scheduling requirements
  • Support itinerary preparation for official assignments

Event & Program Coordination

  • Assist in organizing organizational events, workshops, and meetings
  • Coordinate activities involving interns and volunteers
  • Support board meeting preparation and related documentation

Fundraising & Grant Support

  • Assist with fundraising administration activities
  • Support grant documentation and reporting processes
  • Help maintain donor and stakeholder communication records

Education Requirements

  • Bachelor’s Degree Preferred in:
